Office Administrator at Kingsview Sponsorship Program & J.G. Stewart Construction Ltd.

We are looking for an energetic and enthusiastic Office Administrator to join our team.  With a heart to serve others, the Office Administrator is a warm, welcoming face and voice for our team.

Accountable to the President of J.G. Stewart Construction and the Chair of the Board for Kingsview Sponsorship Program, the Office Administrator will serve as a liaison between internal and external stakeholders for both organizations and will provide business, marketing, technical and administrative support to both organizations.

KEY RESPONSIBILITIES

Kingsview Sponsorship Program (90% time allocation)

  • Reach Computer Database Administrator and Tech Support
  • To be responsible for organizing and maintaining all of the Kingsview files both in paper and electronically
  • Finance Support (including banking, receiving cheques, providing required information to bookkeepers)
  • Kingsview Sponsorship Program Marketing (brochures, pamphlets, PowerPoint presentations)
  • Website design and management
  • Co-ordinate and facilitate Board meetings including agendas, financials and post-meeting task completion and follow-up for both KSP Canada and KSPDR
  • Liaison for professional services (lawyers, government officials, bankers etc)
  • Facilitate administration functions in the Dominican when required
  • Co-ordinate, plan and organize travel for administration and mission trips to the Dominican Republic
  • Special events planning/co-ordinating such as annual golf tournament

J.G. Stewart Construction Ltd. (10% time allocation)

  • Data entry as required
  • Technical support for communication devices (phones, tablets, computers)
  • Special events planning
  • Company marketing projects
  • Website design and management
  • Special projects as required by the President and/or Vice President
  • Facilitate travel arrangements

EDUCATION, SKILLS AND TRAINING REQUIREMENTS

Experience

  • Administrative experience
  • Marketing experience
  • Basic accounting or bookkeeping experience
  • Special events planning an asset

Education

  • Post secondary school
  • Business, marketing and accounting an asset

Soft Skills

  • Marketing
  • Website design
  • Excellent working knowledge of Microsoft Excel, Word, Outlook, Power Point, Adobe etc.
  • Adaptability to custom computer programs
  • Basic accounting knowledge
  • Ability to set up new employee iPhones, and troubleshoot basic issues
